Duties and Responsibilities:

General:
  • To fully participate as a member of the Property Management team to provide assistance and support to each other at all times, and deliver efficient and professional services to all staff, tenants and visitors of Capitol Hill Housing.
  • Assist applicants with completing rental applications and required documentation.
  • Respond to telephone and in-person requests for information on vacancies and tenant qualification requirements.
  • Data entry of and updates to applications.
  • Process move in and move out files.
  • Respond to emails that come into the CHH info box.
  • Collect, log, review and distribute monthly batch reports.
  • Assist with logging and filing MSP work orders.
  • Archive Portfolio Manager’s files at year end.
  • Compile list of tenants going to collections, work to reduce the level of current arrears to the established target in the strategic initiatives.
  • Monitor and control current rent arrears in accordance with Capitol Hill Housing Property Management policies and procedures.
  • Prepare reports on arrears cases for the Director of Property Management.
  • Assist Director of Property Management with monthly dashboard reporting.
  • Process utility reimbursements for HUD tenants.
  • Provide administrative support to Compliance and Property Management team.
  • Responsible for filing for Property Management department.
  • Assist with registering for training classes, tracking.
  • Responsible for projects assigned by Portfolio Managers.
  • Comply with Fair Housing/Landlord/Tenant Laws and Capitol Hill Housing policies and procedures, ensuring all tenancy issues arising are dealt with in accordance with policies and procedures and within agreed time frames.
  • Maintain a current knowledge of Housing legislation, Welfare Benefits, and Tenancy Support.
  • Responsible for updates to benchmarking software.
  • Assist Leasing with REA process as necessary.
  • Other duties as assigned. 
Front Desk:
  • Answer and transfer calls using multi line telephone system.
  • Distribute incoming faxes. 

Customer Service:
  • Deliver high quality service within required time frames.
  • Deliver a quality advice service to tenants on a full range of housing issues.
  • Represent Capitol Hill Housing at meetings with customers and ensure effective liaison with other agencies where required.
  • Respond to all correspondence within required time frames.
  • Establish and maintain clear lines of communication with both internal and external customers.
 
Minimum Qualifications:
  • High Scholl diploma or GED
  • Two years of administrative assistant experience.
  • One year customer service experience.
  • Strong oral and written communication skills in English.
  • Proficiency working with Microsoft Office applications (Word, Excel, Powerpoint and Outlook).
  • Ability to communicate effectively with people of diverse personalities, cultures and communication styles.
  • Maintain a high degree of confidentiality.
  • Demonstrated ability to work independently, take initiative and manage deadlines; manage competing priorities; and maintain high standards for accuracy and productivity.
  • Ability to lift up to 15 lbs.
 
Preferred Qualifications:
  • Experience working with project based Section 8 or HUD applicants.
  • Knowledge of and/or training in Federal Housing Laws and Landlord/Tenant Laws.
  • One year affordable housing experience.
  • One year data entry experience.
